    1. I forgot my password. How can I login?


      Open Mission Donor Manager. Click the Forgot Password button. Enter your email address and then click the Reset button. Check your email for the one time password reset code, enter the code and press Send. Mission Donor Manager will then say “Code Accepted, Check email for new Password”. Click ok and then enter your email address and temporary password. Mission Donor Manger should then open to the main screen. If you did not get the above message or temporary password, try again. You can now change your temporary password (next FAQ) or use it as your regular password.


      How do I change my password?


      If Mission Donor Manager is open, close it, then open it again. Before logging in, click the Change Password button. Enter your email address, your current password, your new password and then confirm your new password by entering it again. Then click the Change button. Mission Donor Manager will then login. Next time you login, enter your new password. It is recommended to exit Mission Donor Manager and test that the new password works to login.


      How do I upgrade Mission Donor Manager?


      Android and iOS are upgraded through the app stores. On the Desktop versions, when you first open Mission Donor Manager, there is a button in the lower left hand side of the login screen that will say one of the following, “Up to date”, “Downloading” or “Start Upgrade”. If “Up to date” is shown, Mission Donor Manger is already at the latest version. If “Downloading” is shown, Mission Donor Manager is downloading an update. When the download has finished, it will show “Start Upgrade” and the button will become enabled. Clicking the button will start the upgrade process. Mission Donor Manager will restart when the upgrade has finished.


      Is financial or sensitive information stored on clients / users computers?


      No information is written to disk on clients computers except for which server to connect to. All financial and donor information is stored in an encrypted sqlite3 database on the server.


      What happens if I loose or forget the database password?


      All donor information, donations, tax receipts, everything is permanently lost! This is the case even if you have backups of the database as the database password is still required to open / unlock those backups. It is recommended that the database password be stored on at least 3 separate pieces of paper and kept in fireproof safes at separate locations. It is extremely important to keep the database password confidential as it protects some forms of theft of donor information. It is recommended procedures be put in place within the organization to manage accessing the database password.


      Is Mission Donor Manager compliant with CRA's IC05-1R1 Electronic Record Keeping document?


      To the best of Craftsmanship Software Inc.'s knowledge and interpretation of IC05-1R1, Mission Donor Manager is compliant with IC05-1R1, provided that

      • the daemon runs on a server in Canada or backups are made to a location in Canada
      • the organization has adequate procedures in place to keep passwords, especially the database password, safe and secure.
      • the server that the daemon is running on is secured with methods outlined in IC05-1R1


      Does Mission Donor Manager provide gift totals to help fill out a T3010?


      Yes, Mission Donor Manager provides cash and non-cash gift totals broken down by each type of donor. (Individual, Business, Government agency, Canadian charity, Canadian foundation, Foreign charity, Non tax payer) The appropriate donor type totals can be added together and then entered in section D3 and schedule 5 of the T3010. See the Tax screen and then the “Cash Summary” and “In Kind summary” sub screens.


      How do I export donations to QuickBooks?


      Transactions must first be grouped together before exporting to QuickBooks. Switch to the IIF Export tab. Transaction are typically grouped by month when a new month begins. This is the “Use previous month end” setting for the End Date. You can also choose a custom end date if desired. The End Date tells Mission Donor Manager to look for any ungrouped transactions up to the selected End Date when forming a new group. You can also choose to only include transactions from a specific Income Account or include transactions from all Income Accounts. To group transactions, click the Edit button, choose your End Date, choose Income Account and then click the group button. Notice a new group is added to the list with the End Date in it’s name. Once a set of transactions are grouped, the iif file can be downloaded for import into QuickBooks. You can download again in the future if needed. You can also view the transactions forming the selected group by clicking the Audit button.


      How do I enter donations from 3rd parties that have taken donations on behalf of my organization? (For example if Canada Helps or Link Charity accepts donations for my organization)


      Create a donor with a first name equal to the name of the 3rd party that takes donations on behalf of your organization. Under the Info sub tab, change their type to “Canadian Charity” and then check “Is a 3rd Party”. When it is time to enter a donation from a 3rd party, go to the Manual entry tab, select the 3rd party from the donors list, select the mission the donation has been made to, enter the amount, select the income account, under type select “3rd Party” instead of “Normal”, then select the name of the 3rd party from the drop down and finally select the date of the donation and click Post.


      How do I accept donations on behalf of another organization?

      Under the Mission Setup tab, create a new mission with the name of the organization you will be accepting donations on behalf of (example Widgets Inc.). Enter the Quickbooks account number. At the very bottom check “Is a Proxy Account”. No donations should be directly made to Widgets Inc. Instead create one or more missions as benefactors at Widgets Inc. For example, create another mission called Widgets: Bob’s Outreach and another mission called Widgets: Sally’s Outreach (Widgets: prefix is optional and is just for filtering convenience.) Under the missions setup there is a drop down called “Proxy this account to”. Bob’s Outreach and Sally’s Outreach must both be set to Widgets Inc. Donations made to Bob’s Outreach and Sally’s Outreach will be placed in the Widgets Inc MDM account in addition to their own MDM accounts. Only the Widget's Inc account gets exported to QuickBooks. Donations to Bob’s or Sally’s Outreach will be added to the donor’s year end tax receipt. In the IIF Export tab, the totals for Bob and Sally can be viewed using the “Proxies” button for each iif export. This can be exported to a spreadsheet and sent to Widgets Inc, Bob and Sally.


      What are Advantage Accounts in Mission Donor Manager?


      Advantage Accounts in Mission Donor Manager are exported to Quick Books and accumulate the advantage amount from donations. For example, the donation advantage amount of the meal cost for a fund raiser dinner is in put into the “meal cost” advantage account. When entering a donation from the fund raiser dinner, the meal cost portion of the donation is entered as the advantage and the “meal cost” advantage account is selected.
